5 Top tips for a successful crewed yacht charter – it’s plain sailing when you know how!

  1. Choose a reputable yacht charter broker to book your yacht. You need to ensure that the broker knows both the yachts available, the crew that work on each charter yacht that will be taking care of you during your vacation and the sailing destination where you are going to charter your yacht. Your broker should be able to offer you totally unbiased advice and help your select the best yacht that meets your needs as well as enlightening you about any travel restrictions for example hurricane season in the Caribbean, when you can still have a fantastic sailing vacation, however you may want to consider taking out additional insurance in the event that a hurricane should occur.

  1. When you have booked your charter yacht your yacht broker should provide you with a Yacht Preference Sheet. It is really important that you provide accurate information on this document. This is the only document that your crew onboard your charter yacht will receive. They will use this information to work out a charter menu for the duration of your charter and to provision the yacht with both food and the drink that you require. You will also specify any dietary requirements and allergies on this document. Providing details about what you like to do on vacation is also important because your crew can work out a draft itinerary for the yacht based upon this information.

  1. Listen to your charter yacht Captain’s safety brief when you board your yacht. You are on vacation, however your Captain is responsible for both the vessel and the guests onboard. There are a few rules onboard a yacht that must be adhered to for everyone’s safety, and certain house keeping rules. Your Captain will explain everything to you, so do listen and if you have any questions ask.

Your crew will be pleased to assist you and it’s far better to inform them of any additional requirements during your charter, so that they can adjust the itinerary to ensure that you enjoy your charter yacht vacation. If you have any questions just ask your crew they will help you.

  1. Give your broker feedback. It’s important for your yacht charter broker to know how you enjoyed your charter, were there any issues with your yacht, how you got on with your yacht crew. If you encounter any issues with your charter please inform your yacht broker as soon as possible so that any issues can be resolved. Your charter yacht broker and your crew are here to help you have a totally hassle free vacation of a lifetime.

Yacht Charter Specialists here to help you with every aspect of your yacht charter

Taking a closer look at Yacht Charter Agreements and what to look out for

When you charter a yacht from a reputable charter broker a written agreement will be drawn up for you to sign, a contract between you and the boat. It is nothing to be nervous of. It simply details what you’ve paid for, and it works to protect you the customer. Some people don’t look at it, some go through with a fine tooth comb. Something in-between these two extremes is probably appropriate and without exhaustively going in to every line we’d like to draw your attention to key points that you may want to check out.

The agreement will name the yacht owner and where they are domiciled. This is important information that can also tell you about the vessels ‘flag’, the State it operates under. If it is unclear it may be prudent to ask your broker what flag the vessel flies as not all countries regulate their commercial vessels to the same standard. Your broker will gladly resolve any concerns.

The number of guests, the number of days, and the cruising area, are usually un-changeable without financial penalty so check these details are correct.

What is included in the agreed price, and importantly what is not included, is usually set out at the start of the contract. Check that this is the same as you were told by the broker. Included items are usually most expenses related to the running of the vessel. Things like fine wines, off-yacht excursions, and airport transfers are usually excluded. Make sure you know what ‘extras’ you are liable for. A lot of power boats, for example, exclude fuel costs. Any additional conditions, for example if smoking is permitted, or what happens to the price if the number of guests increase, will be shown as well.

After details on payment and cancellation there may be an important note on delivery of the vessel and what would happen if, very unusually, the yacht is not delivered for the start of your charter. It may stipulate the condition of linens and furnishings you should expect. Take a close look at this and any accompanying note on the definition of Force Majeure.

There is usually a reminder that for the period of the charter it is your yacht to do with as you please and to go where you like within the agreed charter area. That said, the Captain is in command not you and all decisions relating to the safe operation of the vessel are up to him or her. This means that the choice of sails, or which anchorage, are ultimately determined by the Captain.

There will be a line or two about the responsibility of the owner to ensure adequate insurance, and what the owner is not liable for. In practice this amounts to loss or damage to your personal property, or if you undertake hazardous or dangerous pursuits.

Most yachts make a note in the contract about the use of drugs or any illegal activities and how this would result in immediate termination of the charter without any refund.

It is worth taking a brief look at the procedure in case there are any disputes and the venue for mediation or action.

Finally, there is often a reminder for you to take out your own Trip Cancellation Insurance. Talk to your broker about this.

At Yacht Charter Specialists we use agreements that are in a standard industry format that are proven and exist to ensure clarity and understanding while protecting you the client. Seldom does it get in the way of a blissful charter experience, the intention being to provide the charterer with peace of mind and confidence in the professionalism of both boat and broker. Advice on selecting a Specialist Broker for your Yacht Charter

It can be a daunting prospect choosing a yacht for that perfect vacation afloat. The options seem overwhelming. Which location, what size, the practical differences between motor yachts and sailing yachts, the likely costs, and many other questions, make it a difficult decision. Fortunately, a good broker will help, but how to choose the right broker?

Firstly, have an idea of your budget. Chartering a yacht doesn’t have to be as expensive as many imagine but the range of yachts available means there is a correspondingly big range in prices and wide differences between, at one end, a smaller two-crew sail boat and, at the other, a mega yacht with forty staff, an onboard spa and a helicopter.

It is also important to find out what is included in the charter fee. In some areas, notably the Caribbean Virgin Islands, smaller sail boats and catamarans include everything as an ‘all inclusive’ including local taxes, a ships bar, free water-sports, even transfers from the airport or scuba diving.

Motor yachts on the other hand usually price themselves without fuel – a significant extra cost that can come as a nasty surprise if unprepared. Few will include the cost of dockage in a marina, common on the first and/or last night of the charter to facilitate boarding and departing.

Some will be un-provisioned, without food and drink, and you will need to be aware that gourmet foods, fine wines and spirits at out-of-the-way exotic charter destinations can be impossible to obtain locally and air freighting them in will make them expensive to procure. A good broker will talk to you about this.

Bigger boats generally ask for an advanced provisioning allowance (APA) – possibly thirty percent of the charter fee – to cover these un-included items.

Superyacht Mischief Luxury Motor Yacht Charter

A gratuity for the crew is customary in the yacht charter industry. Again, talk to your broker about what is expected.

The way that boats are priced is very individual and a good charter broker will guide you through the options. The key is to ask lots of questions as no one, you the customer, the broker, or the yacht, likes nasty surprises. A good broker will provide a clearly understood contract describing what is included in the charter fee, what you might expect to have to pay for as extras, and what the additional costs are likely to be.

Secondly, choose your cruising area with some care. It may not be as simple a decision as winter Caribbean / summer Med. Weather conditions vary during the season within both of these areas. For example, a charter in the windier Grenadines at New Year, when the traditional Christmas Trade Winds kick-in, may be ok for more experienced charterers however first-timers may be more comfortable in the more protected Virgin Islands at this time.

Also be aware that the Caribbean is tropical and has a defined hurricane season. Chartering at these out-of-season times can be spectacular with calmer winds, clearer seas, and quiet anchorages. A good broker however will inform you of the risks and talk about re-scheduling conditions, higher risk areas, and trip cancellation insurance in the unlikely event that an unexpected storm is forecast for your area.

Gunboat Catamaran a flyng machine

Gunboat Catamaran a flyng machine

A good start would be to look for a broker who really knows the area. There’s no substitute for first-hand knowledge so a broker who has lived in the charter area and knows where you will cruise will help put together a memorable itinerary. The best restaurants, the calmest bays, the friendliest beach bars will be known to a broker that is ‘a local’.

Brokers should have current information about the yachts they recommend and their crews. Many attend charter shows to keep themselves updated, and this can be useful. It is however much more informative to visit charter yachts while in their working environment, rather than when spruced up for exhibition and tied to the dock. A good broker will keep an eye on the yachts they recommend and talk frequently throughout the season to Captains and owners about the condition of equipment and fittings and their refit schedule. A close ear to the ground about crew changes can be useful as the environment created on a ‘happy ship’ can have such a positive influence on your charter experience. A good broker will make a point of keeping abreast of who will be looking after you and make recommendations accordingly.

A good broker is professional, prompt to reply to enquiries, inquisitive about you and your party in order to make a match for you with a perfect yacht and crew, can empathise with the decisions you have to make and guide you, and importantly be able to give you confidence that their recommendation will make your vacation a success.
